Where Zoho CRM genuinely wins

Depth, comprehensively. Zoho does far more. Multi-pipeline, territory management, advanced workflows, forecasting, custom modules, Canvas UI customisation, Blueprint process automation. Kylas is not trying to compete here.

Zia, the AI assistant. Conversational AI for sales predictions, anomaly detection, lead enrichment. Kylas’s AI capabilities are less sophisticated.

Integrations. 400+ in Zoho’s marketplace. Kylas has meaningfully fewer third-party integrations, and this is one of its acknowledged limitations.

Reporting. Zoho’s is powerful, and Zoho Analytics extends it further. Kylas covers the essentials.

The ecosystem. Zoho CRM connects natively to Books, Inventory, People, Desk and 45+ other apps. If you want CRM talking to accounting, that is solved in Zoho. In Kylas it is an integration project.

The free tier. Zoho has a genuinely functional free plan for up to three users. Kylas offers a 15-day trial and nothing else.

Scale. Zoho handles enterprise-level operations. Kylas is built for growing SMBs.

Where Kylas genuinely wins

Cost predictability, permanently. This is the whole product thesis and it is a real one. You hire ten people, your CRM bill does not move. You go from 15 to 50, it does not move. For a business scaling headcount in bursts — agencies, sales teams, BPOs — that changes the financial equation entirely.

Simplicity as a feature. Kylas focuses on lead management, pipeline visualisation and task automation. No bloated feature set you will never open. Simplicity is genuinely a strength when it prevents complexity overload, and Zoho’s depth is a real cost in attention.

Faster implementation. Less to configure means less time to live.

Ease of learning. Kylas is easy to use even for CRM beginners. Zoho has a genuine learning curve on advanced features.

The question that actually decides it

Not “which is cheaper.” That is arithmetic and you can do it in thirty seconds with the numbers above.

“Will we use Zoho’s depth, or just pay for it?”

Zoho offers a vast range of features you pay for and may never use. That is not a criticism — for businesses that use them, they are excellent. But if you need a pipeline, follow-up reminders and basic reporting, you are subsidising a lot of product you will never open.

Kylas made the opposite bet: fewer features, one price, unlimited people.

So:

Buy Zoho if you have someone who will own the configuration, you need depth, and your headcount is stable or you can absorb per-seat growth.

Buy Kylas if you are past a dozen people, hiring, and your actual requirement is lead management done well rather than a platform.

Who should pick which

Under 9 users: Zoho, on cost alone. Kylas at ₹12,999 flat is poor value at this size, and Zoho’s free tier covers three users at zero.

9–16 users: the genuine grey zone. Work out which Zoho tier you need, then do the sum. If you need Professional or Enterprise, Kylas is probably already cheaper. If Standard suffices, Zoho still wins.

16+ users on Standard, 9+ on Professional: Kylas, on cost. The question becomes whether you lose features you need.

Hiring aggressively: Kylas. Model your headcount in twelve months, not today. This is the scenario Kylas was built for.

Need deep customisation, AI, or ecosystem: Zoho, regardless of headcount. Kylas will not do these things.

The honest caveat about “unlimited”

Unlimited users is a genuine advantage. But check what else is unlimited.

Ask specifically about record limits, storage, API calls, and which features are capped. “Unlimited users” and “unlimited everything” are different claims, and the second one is rarely true of any software.

The same discipline applies to Zoho: run the sum for the tier you actually need, not the entry tier. Standard at ₹800 is not the plan most growing teams end up on.

The bottom line

Zoho CRM is the more capable product. Kylas is the better economics past a certain headcount. Both are Indian, both are good, and both are honestly recommended by us to different clients every month.

The crossover is roughly 9–16 users depending on tier. Below it, buy Zoho. Above it, do the arithmetic and then ask whether you will miss the depth.
